VOLA Hostel Terms and Conditions

I. General provisions

These Terms and Conditions set out the terms for booking accommodation and using the services of VOLA Hostel. Making a booking or checking in constitutes acknowledgement and acceptance of the provisions of these Terms and Conditions.
These Terms and Conditions apply to all Guests staying on the premises of VOLA Hostel.
These Terms and Conditions are available for inspection at the property reception and on the VOLA Hostel website: www.volahostel.pl.

II. Hotel day

Accommodation places (beds) at VOLA Hostel are rented by the hotel day.
The hotel day begins at 14:00 on the day of arrival and ends at 11:00 the following day. If the Guest does not check out by 11:00, they may be charged PLN 10 for each additional hour of delay or the cost of an additional night.

III. Booking and check-in

At check-in, the Guest must complete the registration card in person. In the case of minors, the registration obligation is fulfilled by a legal guardian or by a person holding the legal guardian’s written consent. At check-in, the Guest must present a valid photo ID. Refusal to present an identity document or to complete the required documents gives VOLA Hostel the right to refuse to check the Guest in. Guests without a valid document cannot be admitted to VOLA Hostel.
Any request to extend the stay beyond the period specified in the booking or on the day of arrival must be made by the Guest by 11:00 on the day on which the stay is due to end. VOLA Hostel will accommodate requests to extend a stay subject to availability.
If a booking has been made and the Guest does not arrive on the declared arrival date, the property reserves the right to retain the deposit in full and cancel the booking.
It is not possible to transfer a bed or accommodation place to third parties, even if the period for which the Guest has paid has not yet expired.

IV. Payment

Prices applicable at VOLA Hostel are quoted in Polish currency – PLN. Payments at the property are made in Polish currency, in cash, by payment card or by bank transfer.
Guests are bound by the prices published and confirmed at the time the booking is made.
The amount paid is refundable only if the Guest notifies VOLA Hostel of cancellation of the booking at least 48 hours before the planned arrival.
In the event that the Guest does not arrive on the scheduled date, shortens the stay, cancels the booking, or is refused check-in for reasons specified in these Rules, fees paid for the stay and any deposit paid are non-refundable.
No later than at check-in, the Guest is obliged to pay the full amount due for the stay at VOLA Hostel.
Payment for additional services not included in the booking is made when those services are ordered.
A VAT invoice is issued at the Guest’s request, which must be made at check-in. Invoice details must be provided when making the booking and at check-in. The invoice is issued within 7 business days after payment for the stay has been made, on the basis of the receipt issued. After the above deadlines have expired or if the conditions are not met, VOLA Hostel will refuse to issue an invoice.
In the case of payment by bank transfer, the payment should be credited to VOLA Hostel’s account no later than before check-in.

V. Terms and scope of services

VOLA Hostel provides services in accordance with its standard.
VOLA Hostel does not have a safe and does not offer deposit services.
As part of the accommodation service, the Guest has access to a shared kitchen, toilet, bathroom facilities, TV room, monitored but unguarded car park, free Wi-Fi, washing machines and dryers.
Additional paid services: towel, extra bed linen.
Rooms are cleaned once a day between 11:00 and 14:00, and common areas between 8:00 and 21:00.
The price of accommodation includes a set of bed linen. Bed linen is changed during the stay once every 7 days, or more frequently for an additional fee.
VOLA Hostel is not liable for failures or their consequences where such failures are beyond the control of the property.
Rooms at VOLA Hostel are mixed-gender. The property reserves the right to accommodate a new Guest in a room already occupied by another checked-in person if the room has not been booked for exclusive use and places in that room remain available.
Guests must use only the bed and locker assigned by staff at check-in. If the Guest occupies an additional bed, the Guest is obliged to pay for it.
VOLA Hostel reserves the right to enter the Guest’s room in order to clean the remaining beds.
VOLA Hostel has a statutory lien on items brought into the property by the Guest in the event of late payment for the stay, non-payment of amounts due for services provided, or penalties imposed in accordance with the Rules.

VI. Guest obligations connected with accommodation

In the event of loss of or damage to the room key, the Guest is obliged to pay a fee of PLN 50.
In the event of loss of or damage to the remote control for the television or air conditioning, the Guest is obliged to pay a fee of PLN 150.
Smoking is strictly prohibited at VOLA Hostel, under penalty of PLN 300 for each breach of the ban. Smoking is permitted only in an area designated by the property.
The taking or possession of narcotic drugs, psychotropic substances or any other prohibited substances, as well as the consumption of alcohol, is strictly prohibited at VOLA Hostel, under penalty of PLN 300 for each breach of the ban.
Guests are obliged to observe quiet hours from 22:00 to 6:00, under penalty of PLN 300 for each breach of this obligation.
Only checked-in persons may stay on the premises of VOLA Hostel.
For fire safety reasons, the Guest may not use any electrically powered devices that are not part of the property’s equipment, except for laptops, electric shavers, hairdryers and chargers.
Whenever leaving the property, Guests are obliged to close all windows and lock the room with all locks for which they have received keys.
Please do not leave valuable items at the property. VOLA Hostel is not liable for their loss or destruction.
Guests are requested to keep rooms and other shared areas tidy and clean, under penalty of PLN 300 for each breach of this obligation.
VOLA Hostel does not accept animals on the premises.
Waste must be separated at the property.
The Guest is obliged to report check-out, return the room together with any borrowed devices, and return the room key and locker key to reception. If the room is not vacated at the agreed time, the property staff have the right, even in the Guest’s absence, to enter the room, pack the Guest’s belongings at the Guest’s cost and risk, and move them to another place for storage. The fee for packing the Guest’s belongings is PLN 50. VOLA Hostel provides a luggage storage service. The cost of luggage storage is PLN 10 for each commenced 24-hour period. The maximum storage period for items left at the property is 30 days. After this period, the property has the right to hand the stored items over to the Lost Property Office or dispose of them.
VOLA Hostel may refuse to admit a Guest if all accommodation places are occupied or if, during a stay, the Guest has grossly breached the property Rules or has otherwise disturbed the peaceful stay of other guests or the operation of the property.
VOLA Hostel may refuse to admit a Guest who is under the influence of alcohol or other intoxicating substances. In such a case, the property reserves the right to retain all or part of the fee due for the Guest’s stay.
In the event of inappropriate or aggressive behaviour by the Guest that breaches the order of the property, the dignity of other persons or their personal rights, VOLA Hostel reserves the right to call the relevant security or law-enforcement services and to ask the Guest to leave the property, without the possibility of a refund for the unused stay.
At the request of a reception employee, the Guest is obliged to provide proof of identity.

VII. Price changes

VOLA Hostel reserves the right to change prices during selected periods.

VIII. Liability

The Guest bears full financial liability for any damage to or destruction of the property’s equipment, items and technical devices caused by the Guest or by persons visiting the Guest.
VOLA Hostel is not liable for damage to or loss of a car or other vehicle belonging to the Guest.
VOLA Hostel shall under no circumstances be liable for injuries or damage suffered by Guests for reasons not attributable to VOLA Hostel.
VOLA Hostel is not financially liable for the Guest’s private belongings brought onto the premises and left unattended.
Every Guest of VOLA Hostel is responsible for themselves and for their personal belongings.
The Guest should notify reception of any damage immediately after it is discovered.
In the event of damage, destruction or soiling beyond normal use, the Guest will be charged the amount resulting from the current price list for damage or from these Rules.
The price list is available for inspection at the reception of VOLA Hostel.
Throughout their stay at the property, minors must remain under the constant care and supervision of adults. The children’s legal guardians are responsible for the behaviour of children, including any damage and/or loss caused by them.

IX. Personal data protection

By making a booking, the Guest hereby consents to their personal data being entered into the database of the Lessor responsible for the booking process. The Guest’s personal data shall be processed solely for the purpose of providing the services – in accordance with the provisions of the Act of 29 August 1997 on the protection of personal data. The controller of the personal data is VOLA Hostel. The Guest has the right to access and amend their personal data.

X. Monitoring

The property is monitored, both inside and outside the building, by means of image recording using cameras.
The purpose of introducing control by means of image-recording devices is to ensure safety and security, protect trade secrets and reduce the incidence of theft.
The recording of images through the use of CCTV cameras shall not infringe the Guests’ right to privacy, dignity or other personal rights.
The processing of data obtained in this way and its appropriate security shall be carried out in accordance with the provisions of the Personal Data Protection Act. Images stored on data carriers may constitute evidence in matters documented in the recordings. Data shall be stored on data carriers for 7 consecutive days from the date of recording. After this period, the recording shall be erased by being overwritten with current recording. Recorded images constituting evidence in a matter may be stored until the matter has been clarified.

XI. Final provisions

Any disputes connected with the performance of the agreement shall be resolved by the parties amicably through negotiation, and if no agreement can be reached, disputes shall be resolved by the court having local jurisdiction over the registered office of VOLA Hostel.
Any matters not regulated by these Rules shall be governed by the generally applicable provisions of law.
The law applicable to disputes between the property and the Guest shall be Polish law.
In the event of any discrepancy between the Polish version of the Rules and a translation into a foreign language, the Polish version of the Rules shall prevail.
VOLA Hostel reserves the right to amend these Rules at any time.
